If you are a new user, and you're the type of person who learns best by doing, this Practice Guide is for you. We'll walk you through some easy exercises to give you practice using the powerful recruiting tools at your fingertips.

It's important to note that each user is assigned a permission level that defines what the user can do in the system. In the following practice exercises, we'll note which user permission levels can perform each. To check your permission level, go to Your Account > Account Details. Your permission level will be listed at the top of the page.

Be sure to check with your nearest and dearest Account Owner/Admin user before doing the practice exercises as you will be working in your real account with real data.

Exercise 1. Create a New Job

(Permission levels: for Admin/Account Owners, Managers)

What to do:

  • From your Dashboard, click on the + Create a new job button.
  • Fill in the required fields. For more detailed instructions on creating a new job, click here.
  • Form Builder is an application customization tool offered on select plans that lets you add screening questions on the job's application form. Try out this feature by clicking on the Start Customizing Form button. Click here for more information.
  • Click on the Save and Continue>> button to save your job posting.

Congrats! You've created your first job! 

Now you can either apply to your test job as an applicant (see Exercise 2 below) or you can delete your practice job by following the steps below. Note: Deleting a job cannot be undone so make sure you only delete the practice job you just created.
  • Click on the dropdown arrow next to the job title you just created in the exercise above.
  • Select Delete Job.

Exercise 2. Apply to a Job

(Permission levels: for all levels)

Check with your friendly Account Owner/Admin to make sure it's okay for you to apply for one of your job postings as a test applicant.

What to do:

  • From your dashboard, click on the job title of the job you want to apply for.
  • On the next page, below the job title, you'll see that job's unique URL. Click on it to open up the job posting and application form.
  • Click on the Apply for this Position button on the job posting page.

  • This will open up the application form for this job. Fill out the application form and submit. Make sure to fill out all required fields.

Congrats! You've successfully walked through the application experience as a pretend applicant. If you want to delete the pretend applicant profile you just created, see the steps in Exercise 1 above for deleting a job, but note that only your Account Owner can delete a job posting that has any applicants on it. 

Exercise 3. Review an Applicant

(Permission levels: for all levels)


If you have completed Exercise 2 above, you can review your own application. Otherwise, you can pick any applicant in the system to review. 


What to do:

  • From your Dashboard, click on the job title containing applicants that you want to review. You'll see on your Dashboard which jobs have applicants in the Job Listings section.
  • You'll see a dashboard for the job you just clicked in with tabs for New Applicants, Rated Applicants, Archived Applicants and All Applicants.

  • To view an applicant, click on the View Applicant button. That will open up the applicant's profile in the Application Viewer.

  • With the applicant's profile open, you can click on the various tabs to view an applicant's resume, cover letter, screening questions (if you have custom screening questions enabled on that job), notes, and/or tags. 
  • On the Files tab, you can also download any resume and/or cover letter documents submitted by the applicant.
  • When you're done reviewing the applicant, you can click on the X at the top right to close the application viewer.
  • You can also try sending an email message to an applicant and/or scheduling an interview. Note that the message and interview invite will actually be sent to the applicant, so make sure you're using your own test application if you're just trying out these features.

Congrats! You have successfully walked through the process of reviewing an applicant! Now you're ready for the real deal.
